Billing, Cancellation & Refunds
How subscriptions are priced and charged, why the amount changes month to month, and how to cancel.

This page forms part of the Terms of Service. It applies to what your firm pays us for vivaBooks. It has nothing to do with what your firm invoices its own clients through the software.

Add-ons
Enabled per client, and charged only for the clients you enable them on.
- Payroll — $15 per client per month, plus $4 per active employee per month.
- Bookkeeping — $25 per client per month, flat.

You can see the current quantities and the next charge at any time in your firm’s billing settings.
Taxes and currency
All prices are in Canadian dollars and exclude GST/HST and any other applicable tax, which is added where required.
Trials
Where a trial is offered, the trial period and its end date are shown in your billing settings. Unless you cancel before it ends, the subscription continues and the first charge is taken at that point.
Renewal
Subscriptions are monthly and renew automatically until cancelled. We give at least 30 days’ notice by email before any price increase takes effect, so you can cancel first if you would rather not continue.
Cancelling
- Cancel yourself, at any time, from your firm’s billing settings — no phone call, no retention process.
- Cancellation takes effect at the end of the period you have already paid for. You keep access until then.
- Export your data before that date. What happens to it afterwards is in the Data Processing Addendum.
Refunds
We do not refund part-months as a matter of course: cancelling stops the next renewal rather than refunding the current period. Two exceptions:
- If we billed you in error, we refund it.
- If you terminate because you reasonably objected to a new subprocessor, we refund the unused part of the term, as set out in the Data Processing Addendum.
Failed payments
If a payment fails we will retry it and tell you. If it stays unpaid we may suspend access after notice. Suspension does not delete your data; see the Terms of Service.
Which figure governs
The prices above are our published list prices. What is actually charged is the price recorded against your subscription with our payment processor, including any rate agreed in writing for an Enterprise plan. If you ever see a difference between this page and your invoice, tell us — we will explain it or correct it.
